Encompass - Making Life Easy

Summary: After over eight years using POINT, AMB elected to make everyone's life easier and migrate to a enterprise solution when it comes to originating and processing mortgage loans. This page describes how to acquire the correct version of Encompass, how to install it, connecting to AMB's server, changing your password and how to upload your POINT files.

Getting the Right Version

If you have an existing version of Encompass installed we strongly recommend that you uninstall it (but speak to tech support first to make sure you preserve any borrower files you need to keep) and reinstall from the link provided below. You should understand that our version of Encompass only works online and to originate loans you must be connected to AMB's server:

http://download.elliemae.com/encompass/install/sepro/3.5.0/netbranch.exe

Note: Please read the section below before clicking on the link above.

Downloading Encompass

Installing Encompass is no different than installing any other software from the Web, only it might take a little longer since the files installed are large. You begin the download by running or saving a compact installer file to your Desktop (so you can find it easily). After you click the link given above a File Download Security window should appear. Click "Save" as shown below (you can click "Run" as well):

When finished (very fast because this is a small file) go to your desktop and locate a file named netbranch or netbranch.exe.  Double click it to initiate the installation process:

 Choose "Run" as seen below:

The installer will begin to work:

Next the first Wizard screen appears, click "Next" to continue:

The below imaged Ellie Mae Encompass Installation Manager shows your progress. Be patient this takes awhile.

The file being downloaded is over 40 megabytes in size!

Installing Encompass

Congratulations! You have successfully downloaded Encompass and are now ready to launch the Encompass Setup Wizard. Click "Next":

Accept the Agreement (as indicated by the red arrow - this arrow was added for emphasis, it does not appear on your screen) by clicking "I accept the license agreement" and then clicking "Next" as shown below:

Accept the default Application Folder as shown below and click "Next":

Select the default Data Folder as shown below and click "Next":

Confirm your Application and Data folder selections and click "Next" to begin actual installation:

The following screen measures your progress:

During the installation process you may see several windows such as the one reproduced here:

Once complete the Finish window appears as shown here. Click "Finish" to complete the installation process:

Installation is now complete and you may click "Run Encompass" to begin your server connection test:

Connecting to AMB's Server

Please enter the your Login Name of Your First name and Last name all together with no spaces and all lowercase and the Password of "amb123". Make sure that the Server is:

https://www.amortgagebrokeronline.com/encompass

and then click "OK". Success is yours! Please contact AMB's IT department at 813-289-0154 x245 if you could not connect using your connection string. Please copy the above server name and paste it into the User Login window!

NOTE: You should Log Out when finished working in Encompass. Anyone who remains logged in for more than a day will be forcibly logged out.

Once you have proven your system's ability to connect try to login using your personal login credentials. Try "firstnamelastname" (maximum 16 characters). Your initial password is always "amb123". You must change it the first time you use your login with your "firstnamelastname" login! Make sure that you are logged in using using personal login before changing your password. A couple of times the "testuser" account has had its password changed and as a result people who test the system believe that they have serious problems connecting to the server!

If you are able to login with the test settings but not with your personal settings then your personal settings are not yet established or were created differently than those with which you are trying to log in. Please call IT for immediate assistance.

NOTE: Every LO or Processor is assigned a single persona. A persona is Encompass's way to telling the system what you do. Please ask your Manager to contact IT if you need to have both an LO and Processor persona! Otherwise you will not be able to take full advantage of Encompass's tools and features.

Changing Your Profile

Once you have successfully logged in using your personal information, you will want to immediately change your password. Please click on the Settings workspace tab:

Then expand the Personal settings by clicking on the plus sign:

Click on "Profile":

Then enter your assigned password and your proposed new password information:

Your new password needs to be at least six characters long!

You may also want to verify your e-mail address and phone number. IT may assign you an e-mail like replaceme@amb.com or a phone number such as 123-456-7890.

Uploading Point Files

Whether you are uploading archived or active POINT files, we recommend the following procedure. From the Pipeline workspace, click on "Import":

Choose "Calyx Point" if unselected and click "Continue":

From the resulting Import From Calyx Point pop-up window you can pick and choose the directories and files that you want to import to Encompass. Make sure that you change the folder destination to "Imported from POINT" before you upload your files:

We have found that uploading files to "My Pipeline" confuses Encompass and your files will not always appear the way you want them to in your pipeline view.

Here's the way to get a loan file into My Pipeline. Place a check in the box to the left of the file(s) you want to move (you can move multiple files at the same time) and click "Move":

From the Move pop-up window change the folder so it reads "My Pipeline"  and check the "apply to All" box if you chose more than one file to move. Click "OK".

Making Yourself the LO

Change your Pipeline view folder to My Pipeline and you will see the moved file(s). Open a file and click on the "File started" milestone:

Next click on the "Set the Officer" command button:

Select the user and click "OK":

The file is now assigned to you as LO.

Setting Yourself as Processor

If you also have a Processor persona you may want to sent the file to processing. If not, you may still like to assign your newly uploaded file to your processor. To do this click the "Send to Processing" milestone":

Click the "Send to Processor" button and choose yourself as the processor (just as you did for the LO assignment) or select the processor from the available processors that you are assigning this file to:

Your can now see all of the available milestones of the loan process:

Selecting Your Default Providers

The easiest way to assure that you primary service providers are selected when you create a new file is to define them in your Personal Settings. Open Encompass and click on the Settings tab. Expand the Personal Settings item (click on the plus sign) and select Default Providers:

Click in the provider's Company Name as shown above and then right-click in the text box to launch the rolodex and from there you can select your provider:

By clicking Select your provider's information will automatically be entered whenever you create a new loan. You can select up to eight default providers: Appraiser, Escrow Company, Title Insurance Company, Hazard Insurance, Mortgage Insurance, Flood Insurance, Credit Company and Underwriter.

Note: We have not yet been able to determine how inputting the names of providers into the Misc. Data Templates affects the new files you create. It seems that the Default Providers come from the method described above.

Installing AMB's Custom Screens

Please visit AMB's Introduction to Custom Screens page for a full discussion of using AMB's required origination screens. You must install them!

Note: We strongly recommend that you print and review thoroughly AMB's white paper Common Mistakes when Originating a File in Encompass.
